Tracker Flash Demonstrations

Navigate through our Tracker Flash Demonstrations to get a first hand look at how Tracker works.

This document is broken into the following sections:

Each section is divided into flash demonstrations that allow you to view how the software works. A few things to note concerning the flash demonstration:

  • All links for each item open a new window (or tab) based on your browser configuration. You may need to resize your browswer window to see the entire presentation or snapshot.
  • Clicking on
    • the "Image" will run the flash demonstration.
    • "Snapshot" will open an enlarged picture of the snapshot.
    • "Flash" will run the flash demonstration.
    • "Help" will provide additional details about the feature. You can navigate Help to view information on other features listed below (and not listed).
  • While running a flash demonstration, you can access Help for that feature from the Help menu.
  • Please note the flash demonstrations currently only include sound in the introduction. Future demonstrations will include narration in the opening and throughout the demonstration. Each flash demonstration listed below indicates the use of sound and narration.

Tracker and Tracker Client Workflow

Tracker and Tracker Client Workflow - currently being updated

Think of "workflow" as how you might complete a task. This demonstration provides the workflow as how you might use Tracker - entering data, completing follow-up, having users respond via Tracker Client and Responder Node, closing Tracked Items, reporting, and exporting data. It is summary of how to use Tracker and does not go into the details as each individual demonstration below.

This demonstration is designed to be reviewed from beginning to end noting the workflow of Tracker and Tracker Client, however, you can access any Flash demonstration at any time. When a new section starts, you are provided an overview of that section and you must click "Continue" to start that section of the Flash demonstration.

You can copy data from one Tracker file to another. For each of the selections, you can choose only the required items you wish to copy from one file to another.

When importing PHAWorks projects, Tracker by default maps all the import columns to the required fields in the Tracker file. This allows you to import all the required data for tracking into the Tracker file.

The Activity Window displays your data in a tree and in forms. The tree displays the tracked items, sources associated with the tracked items, and all requests and responses for the tracked item. A form shows the data fields for each level of data. A level is considered a collection of data (e.g., fields) that is only available for that layer of data.

List Window

The List Window provides a tabular (column and row) view of your data. You use this window to view your data. To change your data, you must use the Activity Window.

Each Tracker file has built in fields for each level of data (Tracked Item, Source, Request, Response, File and Import) that are optional to use. Each field has attributes that can be configured based on the type of field. You can also create your own fields or use different names for each field.

For both the List Window and Activity Window, you can create multiple views and each view contains different settings. Customize the filters, sorting, font, display and the tree to create custom views of your data. Views are saved in the file so no matter who accesses the file, each person can have access to the same views.

Working with Tracked Items

When sending a Request, these are tasks completed in trying to complete the Tracked Item. With a Request, you can provide a Request Type, Response Due Date, and Request Text. Requests can be generated in multiple forms and each Tracked Item can have unlimited Requests. See Overview (PDF) for a description of how Tracker works.

Tracker Client Sending a Response

The Tracker Client program is used to provide Responses back to Tracker. This allows users to provide updates on the status of the Tracker Items.

In addition to using Tracker Client to provide Responses, users can enter Responses directly into the Tracker file. This is a security setting in which a user logs in allowing them to only see Tracked Items and Requests assigned to them. When a user is running Tracker using Responder Mode, the user can only add Responses to Requests similar to what they would have done using Tracker Client.

When Tracker receives a Response, the Response data is automatically loaded into the appropriate Tracker file. The user of Tracker can then review the Response and optionally incorporate its data into the Tracked Item.

When Responses are received in Tracker, you should review them to verify that the information that you Requested has been provided. If you Requested Field Updates, you can decide whether to integrate the provided values into your Tracked Item data. This allows users of Tracker Client to provide feedback on selected data for the Tracked Item.

You can create four different types of reports - Form, List, Statistical and Cost Analysis. Each report allows you to customize the data to best fit your report requirements. Customize the filters, sorting, font, and display to create custom views of your data.

Below is a description of each report and sample HTML and PDF reports for your review. Reports generated in HTML format can be opened and saved in programs that read HTML files such as Word, Excel, Quattro Pro and others. To generate PDF files, you must own Adobe Acrobat.

Form Report (Help)

Each part of the Tracked Item is printed in a form. This is similar to the way that data is entered and displayed in the Activity Window. You can select Options to select which forms you wish to include in the report, and you can select the Forms tab in Reports to configure the forms to select which fields should be printed in each form. If you want to create reports with detailed information about Tracked Items, Requests, or Responses, this is the format you will want to use. You can select Category to categorize your report and Tracker will print a section of the report for every value of the field that you selected.

List Report (Help)

The List format prints a table. Each row in the table corresponds to a Tracked Item. This is the report equivalent to the List Window. This report cannot print Request or Response data and because it is limited by the width of the report, you cannot include as many Tracked Item fields. This report is most useful for providing an overview of your data. You may want to use it to see the items that are nearing completion, or to quickly see all of the items that have the highest priority. If your data contains numeric fields such as a cost field, you have can select Options to total all of the values. You can configure the Columns to determine which columns should be printed, the order in which they are printed, and the width of each column. You can select Category to categorize your report and Tracker will print a section of the report for every value of the field that you selected.

Statistical Report (Help)

The Statistical report format provides a listing of the values for a specific data field. The number of occurrences of each value is counted. You can select Options for printing the data in text, printing the data as a pie chart, or doing both. The pie chart works best if there are not too many distinct values. If there are too many values, it is possible that the pie chart will not be readable. If you generate a statistical report using non-text fields such as dates or numbers, you have the option of specifying how the values can be grouped together. For example, you may not want to have statistics for every day that has a response due, but it would be useful to know how many are due each month. Similarly, you can group costs by thousands or millions or other amounts that make sense for your data. You can select Category to categorize your report and Tracker will print a section of the report for every value of the field that you selected.

Cost Analysis Report (Help)

The Cost Analysis format allows you to total the values for a specific number field. You can also subtotal according to as many as three additional fields. You also can select Options to print the top level cost distributions in a pie chart. This would, for example, allow you to quickly see how costs are distributed among the different divisions in your company, or categories of tracked items.

Closing Tracked Items

When the processing for an item has been completed, normally the next step is to close the Tracked Item. A Tracked Item might be closed because it was cancelled, rejected, or postponed. Closing an item in Tracker does not always mean the underlying item was completed as originally recommended. When a Tracked Item is closed, it means current processing for the item has been completed and the item no longer needs to be tracked.

Using Data From Tracker in Other Programs

You can export data to either a TXT (Text) or CSV (Comma Separated Value) file to be used in other programs. Data is exported from the Tracker Item level.

After documenting your PHA with PHAWorks®, import the Tracked Items (Recommendations) into Tracker for follow-up to assure the Tracked Items are completed. After the Tracked Items have been resolved, you can electronically send data back to PHAWorks1 such as cost, resolution text, who closed the Tracked Item, and the completion date.

Tracker uses a wizard to update PHAWorks projects. This is a snapshot of a PHAWorks project after completion of the PHA and then after being updated by Tracker.

In the Activity Window, the tree provides hierarchical view of the data. You can customize what data the tree displays for the Tracked Item, Source, Request and Response level in the Activity Window tree. Icons and color are used to represent the state of the Tracked Items.

If you have the same Tracked Item listed multiple times, you can merge two Tracked Items into one Tracked Item. When updating PHAWorks, all Recommendations would be updated in the file.

You can also merge using drag-n-drop which is shown in the Flash demonstration. This shows the dialog method for merging Tracked Items.

Renumber Tracked Items

The Address Book is a listing of people that you can use for assigning Tracked Items and sending Requests. You can import names from your email address book, PHAWorks Master Team List or PHAWorks Project Team List. You can also look up names in you email address book.

Allows you to customize the settings used for receiving and sending emails from Tracker. Select to send emails via SMTP or MAPI and receive via POP3, IMAP4 or MAPI. You can use either a wizard or a tabbed dialog to configure email.

For each file, you can create users and passwords allowing limited access to the file and features in the program. This is not required, but recommended. The security allows you to provide different access for those who have access to the file. The users and passwords are saved in each Tracker file, so each file can have unique settings. This allows you to customize the security for each file.
